Organizations: Roles, Permissions, and Account Management

Organizations let teams collaborate under a shared account with clear ownership, secure payout controls, and role-based permissions. Owners can manage members and payouts, while Members can edit assets. Use the Account Switcher to move between your Personal account and any Organizations you belong to.

Organizations: Roles & Permissions

Organizations allow teams to collaborate under a shared account. Instead of one person owning films, talent profiles, products, or venues, an Organization can own them—making it easy for multiple people to manage assets together while keeping payouts and permissions secure.

Organizations include simple roles, email invitations, and an account switcher so you can move between your personal account and any Organizations you belong to.


How Organizations work

An Organization is a shared account that owns assets such as:

  • Films

  • Talent profiles

  • Products and offerings

  • Venue profiles

  • Events and VOD

Assets belong to either:

  • Your Personal account, or

  • An Organization

When you're working inside an Organization, everything you create or edit belongs to that Organization—not your personal account.


Roles and permissions

Each Organization has two roles: Owner and Member.

Owner

Owners have full control over the Organization.

Owners can:

  • Invite and remove members

  • Edit and delete Organization assets

  • Configure payout settings

  • View settlements and financials

Each Organization has one Owner in the MVP.


Member

Members can help manage Organization assets, but cannot access sensitive settings.

Members can:

  • Create and edit Organization assets

Members cannot:

  • Delete assets

  • Access payout settings

  • View financial information

  • Manage members

This ensures financial and administrative control stays with the Owner.


Switching between accounts

If you belong to an Organization, you’ll see an Account Switcher in your dashboard.

This allows you to switch between:

  • Your Personal account

  • Any Organizations you belong to

When you switch accounts:

  • Your dashboard updates to show assets owned by that account

  • New assets you create belong to the active account

  • Searches only show assets owned by the active account

Your last active account is automatically restored when you log in.


Creating an Organization

You can create an Organization from your account menu.

During creation, you’ll have the option to transfer existing assets from your Personal account to the Organization.

This is optional—any assets you don’t transfer will remain in your Personal account.

Talent Profiles transfer as complete units, including all associated films and offerings.


Inviting members

Organization Owners can invite members by email.

To invite a member:

  1. Go to Organization Settings

  2. Select Members & Permissions

  3. Enter the person’s email address

  4. Send the invitation

The recipient will receive an email with an invitation link.


Accepting an invitation

If the invitee already has a Gathr account:

  • They click Accept Invitation

  • They’re added to the Organization immediately

  • They can switch between their Personal account and the Organization using the Account Switcher

  • Their existing personal assets remain unchanged

If the invitee does not have a Gathr account:

  • They’ll create an account using the invited email address

  • They’ll be added to the Organization automatically

  • They’ll be taken directly to the Organization dashboard

Note: New users who join Gathr through an Organization invitation will initially have only an Organization Member account. They will not have a Personal account unless they create one later. They can fully collaborate within the Organization based on their assigned role.


Managing payouts and financial access

Payout settings are configured separately for each Organization.

Only the Owner can:

  • Set payout details

  • View settlements

  • Access financial information

Members do not have access to payout settings.

This keeps financial information secure and clearly separated.


Asset visibility and ownership

Assets belong only to the account that owns them.

This means:

  • Organization assets are only visible when viewing that Organization

  • Personal assets are only visible when viewing your Personal account

  • Members cannot access assets outside the Organization

This ensures clean separation between personal and Organization work.


Managing members

Owners can manage members at any time.

Owners can:

  • Invite members

  • Remove members

  • Resend invitations

  • Cancel invitations

Members cannot manage other members.


Notifications

Organizations support email notifications to help teams stay informed about important updates and activity.

Notification preferences can be managed within Organization settings.


Frequently asked questions

Does joining an Organization affect my personal account?

No. Your personal assets remain in your Personal account unless you choose to transfer them.


Can I belong to multiple Organizations?

Yes. You can switch between Organizations using the Account Switcher.


Who controls payouts?

Only the Organization Owner can configure payouts and access financial information.


Can members delete assets?

No. Only the Owner can delete Organization assets.


Will I have a personal account if I join through an invitation?

If you already had a Gathr account, your Personal account will remain available.

If you joined Gathr for the first time through an Organization invitation, you will initially only have access to the Organization. You can create or use a Personal account later if needed.
